1. Who We Are

TeenSide Life Coaching ("TeenSide," "we," "us," or "our") is a virtual life coaching platform that connects teens and young adults with trained coaches aged 21–39. We provide virtual coaching sessions, scheduling, communication, and payment processing through our web application (the "Platform").

This Privacy Policy applies to all users of our platform: clients (teens and young adults), parents and guardians, coaches, and visitors to our public website.

By using TeenSide, you agree to the collection and use of information as described in this policy.

2. Information We Collect

Information You Provide Directly

• Name, email address, phone number, and password when creating an account

• Role selection (Parent, Client, Coach) and timezone at signup

• Profile information, including bio, photo, and coaching specialties (coaches)

• Intake form responses completed during onboarding

• Payment information, processed securely by Stripe (we do not store card numbers)

• Messages and session notes within the platform

• Communications with TeenSide support

Information Collected Automatically

• Device type, operating system, and browser information

• IP address and approximate location (for timezone detection)

• Pages visited and features used within the app

• Session duration and engagement data

• Error logs and crash reports

• Cookies and similar tracking technologies (see Section 10)

Information from Third Parties

• Authentication data from Supabase (our identity provider)

• Payment confirmation data from Stripe

• Video session metadata from Zoom (session duration, join time)

• Background check results (coaches only, from our approved background check provider)

• Push notification tokens if you opt in to notifications

3. How We Use Your Information

We use the information we collect to:

• Create and maintain your account

• Match clients with appropriate coaches

• Schedule, host, and track coaching sessions

• Process payments and send receipts

• Send transactional emails (session confirmations, reminders, password resets)

• Display your timezone correctly throughout the app

• Monitor platform safety and flag concerning content

• Ensure compliance with legal obligations, including mandated reporting requirements

• Investigate and respond to reports of abuse, safety concerns, or Terms violations

• Improve the platform through aggregate usage analytics

We do not sell your personal information to third parties. We do not use your data for targeted advertising.

4. How We Share Your Information

We share information only in the following circumstances:

Between coaches, coordinators, and clients: Coaches can see the name, profile, and session notes for their assigned clients. TeenSide coordinators assigned to a coach may access relevant client information for oversight and support purposes. Parents can view their teen's coach profile and session history. Clients can see their coach's public profile.

With service providers: We share data with trusted third-party providers who help us operate the Platform. These providers are contractually bound to protect your data:

Stripe: Payment processing

Zoom: Video coaching sessions

Resend: Transactional email delivery

Vercel: Web hosting and deployment

Go: High Level CRM and contract management (white-labeled as Coach Grid)

Background Check Provider: Coach background verification

For safety: If we reasonably believe a user is at risk of harm to themselves or others, we may disclose information to appropriate parties, including parents, guardians, or emergency services. Coaches are trained to escalate safety concerns promptly.

For legal compliance: We may disclose information if required by law, court order, or government authority, or to fulfill mandated reporting obligations.

With your consent: We may share information in other ways with your explicit consent.

5. Children & Minors (COPPA)

TeenSide serves users aged 13 and older. We do not knowingly collect personal information from children under 13.

• Users must be at least 13 years old to create an account

• For users under 18, a parent or guardian must create the account and consent to the Terms

• We require verifiable parental consent before collecting personal information from children under 13

• Parents can view their teen's session history and progress through their linked parent account

• Coaches never communicate with minors outside of scheduled sessions conducted on the Platform

• If we discover a user under 13 has created an account, we will delete it promptly

• Parents may review, request deletion of, or refuse further collection of their child's personal information by contacting us at teensidelifecoaching@gmail.com

6. HIPAA & Sensitive Information

While TeenSide is a coaching platform and coaches are not licensed healthcare providers, we recognize that session content may be sensitive in nature. We implement administrative, technical, and physical safeguards consistent with industry best practices to protect all user data.

If protected health information (PHI) is handled in connection with any coordinated care arrangements, we will comply with applicable HIPAA requirements. Access to client information is restricted to the assigned coach, their assigned coordinator, and TeenSide administrators.

7. Data Retention

• Account data is retained for as long as your account is active

• If you delete your account, personal data is removed within 30 days, except where required by law

• Session records and payment records may be retained for up to 7 years for tax and legal compliance

• Coach session notes are retained for the duration of the coaching relationship plus 12 months

• Trauma reports and safety-related documentation may be retained for longer periods as required by applicable law or our safety obligations

8. Security

We take security seriously. TeenSide uses industry-standard measures to protect your data:

• All data is encrypted in transit using TLS/HTTPS

• Passwords are hashed and never stored in plain text

• Authentication is managed by Supabase with row-level security on all data

• Payment data is processed by Stripe — we never see or store full card numbers

• Role-based access controls limit which team members can access user data

No system is 100% secure. If you believe your account has been compromised, contact us immediately at teensidelifecoaching@gmail.com.

9. Your Rights

You have the right to:

• Access the personal data we hold about you

• Correct inaccurate information in your profile

• Delete your account and personal data (subject to legal retention requirements)

• Port your data in a portable format

• Opt out of non-essential communications at any time

• Withdraw consent for data processing where consent is the legal basis

10. Cookies & Tracking

TeenSide uses minimal cookies:

• Session cookies to keep you logged in (essential, cannot be disabled)

• Preference cookies for theme (light/dark) and timezone settings

• We do not use third-party advertising or tracking cookies

• We do not use Google Analytics or similar ad-network trackers

You can control cookies through your browser settings. Disabling certain cookies may affect Platform features.

11. Third-Party Services

TeenSide integrates with the third-party services listed in Section 4 above. Each service has its own privacy policy. We are not responsible for the privacy practices of those external services.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we'll update the "Last updated" date at the top of this page. For material changes, we'll notify you by email or with an in-app notice. Continued use of TeenSide after any changes constitutes acceptance of the updated policy.
